REGULAR MEETING OF THE BOARD OF TRUSTEES on 27 January 2009

1. Music Ministry - JFGuballa has already submitted the Schedule of Cash Flow/Activities. NBA was also given to TRCatacutan. Solicitation letters to Concert Sponsors shall be prepared by SAsia by 2nd Friday of February.

2. ID Pictures – Board decision on taking of pictures for IDs for new members during MEWs is recalled. Instead, the former procedure will still be adopted—pictures of members for the MDMEC ID shall be taken at Violago but the members shall be required to deposit the full amount/cost of the IDs.

3. Pledges – CManuel reported that the printing of one (1) page, colored Pledgors’ Column was solicited from a good Samaritan – free of printing/material charges.

4. Shepherding Seminar – SAsia already sent a copy of the revised schedule of the shepherding seminar to FNLachica.

5. MDMEC 18th Anniversary – CManuel already met with the Worship Ministry regarding the plan of activities. LVarilla reported that they will also have a meeting with other HCs on February 1 regarding the anniversary.

6. MDMEC Visioning and Long - Term Planning Workshop/Seminar – Venue for seminar shall be taken cared of by SBSantos.

7. Conciliation Committee – The Board approved the suggestion of EGarcia as regards the creation of a committee which would address certain concerns of community members. This committee whall be composed of the members of the ExeCom.

8. TV MASS Anniversary – SAsia reported that according to RBohol, the TV Mass sponsorship amounting to around P22K shall be taken cared of by the TV Mass Committee. The Holy Mass shall be pre-taped on March 20, to be aired on March 22, Sunday at Channel 13. The Board approved the proposal on the condition that the community shall not shell out money. In relation to this project, the TV Mass Committee will be revived to make the necessary arrangements pertaining to the project. The TV Mass Committee, through OMercado was directed to make inquiries with Violago management regarding additional costs/charges, if any, for electricity regarding the use of TV lights, cameras, etc.

RBohol is also inviting MDMEC to join the mass to be held at the Phil. Heart Center on Jan. 31, 6PM (pre-taped) and to be aired on Channel 13, Feb. 1.

9. Council of Elders - SSantos informed the Board that he had a meeting with some of the founders of the community wherein it was agreed by those present that they would like to help the community (e.g., by sending a candidate or two to an MEWeekend). SSantos suggested the creation of a Council of Elders. The Board approved the suggestion of Ssantos, in principle, and requested SSantos to request the Elders to submit the nature and scope of work the Elders would like to engage in to help the community.

Special Meeting of the Board of Trustees held on 13 January 2009

A. MUSIC MINISTRY

1. JFGuballa made a presentation regarding Music Ministry’s project. After the presentation, the Board approved the proposal/plan of Music Ministry’s proposed commmunity’s ‘Concert for a Cause’. JFGuballa were requested by the Board to submit Schedules of Cash Flow and Activities on or before 27 January 2009.

2. Other details of the project:

          Formal launching of project    : 27 March 2009, Violago Chapel
          Concert date                          : 26 September 2009
          Tentative/Working Title           : Dream, Believe, Realize

3. Temporalities Ministry, headed by TRCatacutan, shall provide support to the project, in proper coordination with JFGuballa.

Over-all head of the project shall be JFGuballa. Notice of Board Action shall be given to TRCatacutan.

4. The format of Solicitation letters for Concert Sponsors shall be prepared by SLAsia.

B. Marriage Life Apostolate

EGarcia presented the following matters for information/ implementation of MLA effective January 2009:

1. Increase in stipend and granting of subsidy for MEW:

subsidized by MDMEC   P 12,000

2. Discontinuance of bus subsidy and MLA transportation allowance.

3. Board & Lodging of Shepherd Couple of sponsoring class shall no longer be considered as an allowable expense.

4. Rooms allocation for Music Team shall be:

One (1) Room - Action Singer
One (1) Room - Instrumentalist

5. MLA HC/CC shall attend the 10th Deepening of every Class for proper endorsement to other Apostolates/Ministries, such as ORA (for outreach projects).

6. Submission of MEW Financial Report of Sponsoring Class shall be within two (2) weeks after the MEW. MLA HC shall be responsible in the checking/approval of the report before its submission to the MDMEC Treasurer.

7. Strict implementation in the submission of Application Forms for MEW candidates shall be observed by the sponsoring class/recruiter. This shall be monitored by MLA HC/CC.

C. Sponsoring Shepherds (NBPascual) & Incoming Shepherds (DSGaray)

The Board invited the Shepherds of the sponsoring class for the January MEW and the incoming Shepherds so that the Shepherds may be clarified as regards matters which are still unfamiliar to them.
The Board agreed that the incoming Shepherds for the next succeeding MEWs shall be invited to attend the BOT Regular Meeting on a regular basis.

D. Shepherding Seminar – The Board approved the March 14 & 21, 2009 schedule for the Shepherding Seminar, with minor revisions in time schedule.

E. MDMEC 18th Anniversary – Mater Dei 9-Fridays Novena shall commence on January 30, 2009. CManuel shall coordinate with Worship Ministry regarding plans/activities for the anniversary.

OMercado shall coordinate with Fr. Bel San Luis on possible TV Mass sponsorship of MDMEC Anniversary celebration to be aired March 29, Sunday, Channel 13. If approved, this will be pre-taped March 27, 8PM, Friday at Violago Chapel. Holy Mass shall be presided by Rev. Fr. Domie Guzman.

F. MDMEC Long-Term Planning Workshop/Seminar – The community received a P10,000 donation which was directed to be used for a visioning/planning workshop. Consequently, the Board agreed to have a visioning and medium/long term planning wordshop together with the HCs on March 7 & 8, 2009. Venue for seminar shall be handled by SBSantos.
